Receptionist/ Admin Assistant, Corporate Headquarters

Corporate Headquarters is seeking a Full-Time Receptionist/ Admin Assistant

Key Responsibilities:
-Welcomes visitors by greeting them warmly, determines nature of business and announces visitors to appropriate personnel
-Answers incoming telephone calls and forwards calls to appropriate personnel
-Provides callers with general information such as company address, directions to facility, fax numbers, website and other related information
-Maintains employee and department directories
-Manages inquiries or requests from customers, employees and public services
-Updates appointment calendars and schedules meetings/ appointments
-Maintains safe, clean and tidy reception area, waiting area and office supply rooms
-Receives, sorts and forwards incoming mail. Also coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.) working directly with shipping and receiving
-Prepares letters, documents and faxes; creates and prints fax cover sheets & memos
-Orders, receives, stocks and distributes office supplies; tracks supply order and inventory of office supplies
-Ensures that copy rooms are equipped with office supplies as appropriate
-Monitors the use and maintenance of standard office equipment and equipment supplies within the office
-Assists with other related clerical

Required Knowledge, Skills & Abilities
-Knowledge of clerical and administrative procedures
-Honest, respectful, trustworthy and able to maintain confidentiality
-Project an appropriate professional appearance and demeanor
-Proficient with Microsoft Office Suite; i.e.: Word, Excel, PowerPoint and Outlook
-Solid communication skills both written and verbal
-Strong keyboarding skills
-Ability to organize, multitask, prioritize and work under pressure
-Adapts to changes in the work environment; able to manage frequent changes, delays or unexpected events
-Ability to work in compliance with company policies and procedures
-Ability to function in a team environment
